The Value of Shared Print

CCH Collection Comparison Tool

The CDL, CRL & HathiTrust Shared Print Collaboration launched a free collection comparison tool in early 2021 to advance equity of collection decision making (see Press Release).

The Collection Comparison Tool allows for the upload of a list of local records (ocns and/or issns) to generate an instant comparison with the PAPR archived titles registry. The tool is available at:

Journal Retention and Needs Listing (JRNL)

The Journal Retention and Needs Listing (JRNL) is a program that:

  • Allows libraries to expose lists of print journals for which they have made retention commitments;
  • Express needs (or gaps) in their holdings; and
  • Communicate offers to fill the gaps in other participating libraries’ holdings.

All member programs in Rosemont allow their members to use this tool.

More information about JRNL can be found in the JRNL LibGuide

Access to JRNL is available at: http://apps.uflib.ufl.edu/JRNL/

Transfer of Retentions & Storage Vendors

In 2021, the Rosemont Operations Committee tasked a working group to identify and engage with Storage Partner libraries. That group focused on three primary tasks: 1) to complete a best practices document outlining recommendations for transferring retention commitments, 2) to survey member libraries to assess their perception about the scope and scale of the Rosemont Alliance’s storage role, and 3) to create a list of commercial storage partners.

Analysis of the survey results indicated that:

  • Respondents did think the Rosemont Alliance had a role in identifying possible locations where materials could be kept
  • that most potential locations would at least consider accepting additional materials and
  • that a few of the Rosemont Alliance partners were using third party storage facilities

Subsequently, the working group developed two documents for Rosemont Alliance members (and the broader library community) that may be of interest:

Comparison of Collection Analysis Tools

The following matrix compares the functionality of the Collection Comparison Tool with the functionality of GreenGlass for Serials in order to provide libraries that are considering analyzing their print journal collections with information on the different ways each tool might assist them with that process.

The Collection Comparison Tool is a free resource that allows you to upload a list of local records to generate an instant comparison with the PAPR archived titles registry. Some example use cases include: supporting local collection management decisions (e.g. deselection, retention, and transfer to remote storage or special collections), identifying gap-filling opportunities in the collective collection, and surfacing digitization opportunities in select repositories. This tool is available as part of the California Digital Library, Center for Research Libraries & HathiTrust Collaboration for Shared Print Infrastructure and is made possible because of the cumulative efforts of many institutions and organizations.

GreenGlass for Serials is an OCLC web-based collection analytics tool that allows libraries to make decisions about their print collection. GreenGlass provides data for print serials that allows users to make decisions on which titles to deselect, retain, digitize, and transfer to remote storage or special collections, explore and visualize their collection in the context of the collective collection, model deselection and print management scenarios, and generate custom reports and lists to support collection management activities.
